Return & Refund Policy — Vintage Wholesale Berlin (VWB)

Customer Categories

Most products sold by VWB are intended for business customers, resellers, and wholesalers (B2B). However, where a purchase is made by a consumer (a private individual acting outside any trade or profession) within the European Union, the statutory consumer withdrawal right applies as set out in the dedicated section below.

By placing a business order, you confirm that the purchase is made for commercial (B2B) purposes. The "all sales final" terms below apply to B2B purchases.

EU Consumer Right of Withdrawal (14 days)

If you are a consumer based in the European Union, you have the right to withdraw from your contract within 14 days, for any reason and without justification. The withdrawal period expires 14 days from the day you (or a third party other than the carrier indicated by you) take physical possession of the goods.

To exercise this right, you may use the withdrawal function (withdrawal button) available on our website, or inform us by a clear statement (e.g. email to sales@vintage-wholesale-berlin.com). After submitting your withdrawal, you will receive a confirmation of receipt by email.

To be eligible, items must be returned in the same condition you received them, unworn and unused, with any tags and original packaging, together with proof of purchase. You are responsible for the return shipping costs. We will issue your refund within 14 days of receiving the returned goods or proof that you have sent them back, using your original payment method.

Certain products are exempt from the withdrawal right under applicable law (for example sealed hygiene goods once unsealed). This statutory right takes precedence over the general B2B terms below.

General Policy (B2B purchases)

Due to the nature of vintage wholesale clothing and kilo-sale purchasing, all B2B sales are final. We do not accept returns or issue refunds for: change of mind, unsold stock, style/model/brand preference, or normal vintage wear and minor imperfections.

Vintage items may show signs of wear consistent with their age and grading. By placing an order, the customer confirms acceptance of these conditions.

Exceptions — When Returns May Be Accepted (B2B)

Returns are accepted only if VWB has made a clear mistake in fulfilling the order:

1. Incorrect Items Sent — If goods received do not correspond to the product description or order confirmation (e.g. a unisex vintage sack ordered but a feminine vintage sack received). This does not apply to multi-brand or mixed packs, where brand variation is expected.

2. Excessive Grade B Items — A return may be considered only if an unusually high percentage of the sack consists of true Grade B items. Grade B = items with visible defects such as large stains, clear holes, or significant damage; still wearable but with clearly visible flaws. Not Grade B: small marks, light wear, minor imperfections not easily visible. Normal vintage characteristics are not grounds for return.

Claim Period (B2B)

Any issue must be reported within 24 hours of delivery. Claims after this timeframe will not be accepted. (This 24-hour limit applies to B2B claims only and does not restrict the EU consumer withdrawal right above.)

Return Conditions (B2B)

Partial returns are not accepted. If approved, the return must include the entire sack or order as originally received. All returns require written approval from the VWB team before shipping. Once approved, goods must be sent back within 14 days. Unauthorized returns will be refused.

Return Shipping & Refunds (B2B)

Return shipping costs are paid and organised by the customer. Once returned goods are received and inspected, a refund is issued. Refund amount = order value minus all transport and shipping costs, processed using the original payment method.
